The Problem

Centure Financial came to us as an expert in their field, but their operations were letting them down. The key problems they faced:

  1. They had too many services and were undercharging for the value they provide, which cut profit margins

  2. The CEO was doing most of the work, and utilizing an offshore team they built to do client bookkeeping. However, this meant the CEO was stuck doing all complex financial strategy for clients

  3. They were using to do lists in Google docs & iphone notes to manage tasks. There was no visibility on what tasks the offshore team was completing & how much time they were spending on tasks. There was no central project management tool to focus the team.

  4. Sales outreach was managed manually and there was so system to maintain leads & follow up automatically

  5. The company was using Google Sheets to send financial reports to clients, which took a lot of time & energy to maintain. This time could’ve been used for higher leverage activities

What We Did

We created a series of project plans and implemented the following to help Centure Financial reach their goals:

  1. We helped the client restructure their services into 3 core offerings that logically ascend into the next service, and increased their prices

  2. We built a hiring process & Applicant Tracking System within ClickUp, which automated a large part of hiring, and streamlined the rest so hiring could be conducted efficiently

  3. We supported Centure Financial in hiring a highly skilled US-based Financial Strategist that could work with the CEO in person in San Diego and takeover client work

  4. We created onboarding, training & management systems for the team and utilized this to onboard the new Financial Strategist for the company

  5. After a period of training, we transitioned the Financial Strategist to take over client calls & strategy creation for the majority of clients, freeing up the CEO’s time

  6. We created a new project management in ClickUp for Centure Financial. This included templates for the delivery of each service with tasks, assignees & deadlines prebuilt, lists to manage new clients, dashboards to track client health, team performance, time tracking & more. We also implemented better team management systems such as End-of-Day reports so the CEO had a better pulse on the business

  7. We created a Zero Touch Onboarding system within HighLevel, which allowed them to onboard new clients simply by sending a payment link. The system would redirect the client to sign their contract next, then prompt them to complete the onboarding form, and redirect them to book their onboarding call. They would get a text & email confirmation as well as reminders about their call. On the internal side, the team would be notified there was a new client & for what service, get a copy of their onboarding form answers added to the client’s Notion profile, and be prompted to create the client’s service in ClickUp from the template. The client & their payments would also be tracked in the client payment tracker in ClickUp

  8. We created a complete sales CRM in HighLevel, where leads would automatically be inputted when they filled out the contact form on the website, completed the financial quiz free resource, or other booked a sales call. If a lead cancelled the call, their pipeline stage would be automatically updated & they were entered into an email sequence to prompt them to rebook. If a lead no-showed, they would be entered into a similar sequence. If a lead wasn’t ready after the sales call, the lead would get entered into a long-term nurturing sequence. If the lead signed, this would be automatically tracked when they checkout using the Zero Touch Onboarding payment link & their pipeline stage would be automatically adjusted.

  9. We created Financial Dashboards inside of Databox that pulled real-time information from Centure Financial’s client’s Quickbooks accounts and other sources, to show a clear picture of their financial health so they could get accurate CFO guidance

The Result

As a result of everything we implemented above, the client achieved the following:

  1. Increased gross annual revenue by 102% and net margins by 11%

  2. The CEO saved 12hrs per week by delegating clients & financial strategy to their trained Financial Strategist

  3. The CEO was able to spend more time on marketing & higher leverage activities to grow the business, which allowed them to develop an events marketing strategy and hiring a sales representative to work events with them and take over sales calls

  4. The team became self-managing since all their tasks were streamlined within ClickUp & the CEO could easily see time tracked & tasks worked on per team member. This led to a 37% increase in team productivity. They also had improved data to identify which clients were the least profitable and make decisions accordingly

  5. The time taken to onboard a client was cut down from 3 days to under 5 minutes, and 5hrs in manual labor was saved per client

  6. Centure Financial was able to sign their highest retainers to date for their CFO service and cut low priced & low profit clients

  7. Increased sales close rate to 70% and ensured leads were consistently nurtured in the pipeline

  8. The actual & perceived value of their services was enhanced through the implementation of Databox dashboards, which lead to a 51% increase in positive client feedback, more referrals, and increased client retention.
