The Problem
The client had a highly successful real estate business, selling over $50M in property and now she wanted to use her skills to help other agents achieve similar success.
However, Lynea’s real estate business still required further streamlining to give her more time to work on her new venture, and she lacked a clear plan to bring her vision to life.
A self-proclaimed visionary, Lynea was great at the big picture but lacked the focus and detail-oriented brain to bring her visions to life, while balancing her other priorities. Her mind tended to go in many directions and she needed support remaining focused on 1 process and outcome.
She wanted structure, systems and a process to help her reach her goal of launching a successful coaching business.
What We Did
We implemented the following to help Lynea achieve her goals:
Hired an administrative assistant to take many low dollar-per-hour tasks of Lynea’s plate and support with the administrative side of her real estate business
We created onboarding, training & management systems for the team and utilized this to onboard her new assistant
We created a project planning system for the company, and used this process to develop a plan for the launch of her coaching program. Prior to this, Lynea had only been taking on 1-1 clients. We helped her develop a structure for a group cohort, lesson plans, course modules & a marketing launch plan. We also outlined all of the systems that would be needed to support the operations of the business, which are outlined below.
We created a Zero Touch Onboarding system within HighLevel, which allowed them to onboard new clients simply by sending a payment link. The system would redirect the client to sign their contract next, then prompt them to complete the onboarding form, and redirect them to book their onboarding call. They would get a text & email confirmation as well as reminders about their call. They would also get immediate access to the course that accompanied the coaching program, a calendar invite to the group calls, and an onboarding email confirming the next steps. On the internal side, the team would be notified there was a new client, get a copy of their onboarding form answers and be prompted to prepare for the onboarding call.
We developed a complete sales CRM in HighLevel for her coaching program, where leads would automatically be inputted when they filled out lead magnets, or other booked a sales call. If a lead cancelled the call, their pipeline stage would be automatically updated & they were entered into an email sequence to prompt them to rebook. If a lead no-showed, they would be entered into a similar sequence. If a lead wasn’t ready after the sales call, the lead would get entered into a long-term nurturing sequence. If the lead signed, this would be automatically tracked when they checkout using the Zero Touch Onboarding payment link & their pipeline stage would be automatically adjusted.
We created a tracking pipeline in HighLevel to track students as they went through the coaching program. Students would automatically move to the next stage in the pipeline as each week in the program went by. They would also get a series of automated check-in emails & accountability forms to support them through the program, and invites to 1-1 check-in calls at key markers in the program.
We developed a marketing launch campaign to launch the program to her current email list & social media audience through a series of emails, & social posts promoting a free masterclass training. At the end of hosting this training, Lynea shared about the opportunity of her new program & invited the participants to book a sales call with her. Another series of emails & social posts went out after the masterclass too to invite leads to book a call.
We created a series of long-term email nurturing sequences with the CEO to nurture any agent leads that came into the pipeline. These sequences lasted a combined total of 12 months and promoted value to leads, invited them to book sales calls, and also gave special offers & downsells when relevant.
We hired a social media manager to take over content posting, repurposing & maintaining her social media presence across all channels
The Result
Lynea generated $96,000 in the first 3 days of her coaching program launch following the masterclass
The CEO was able to save 7 hours per week by restructuring to a group cohort
The company saved over 22hrs a week through the sales, marketing, onboarding & fulfillmentsystems we created, and by successfully hiring an administrative assistant
Lynea was able to bring on a full-time operations manager with a 6-figure salary, which previously the company would not have been able to support
